About this Privacy Policy

Archivum Custodio is an online store based in Australia.

This Privacy Policy explains how Archivum Custodio collects, uses, stores and discloses personal information when you visit our online store, purchase products, communicate with us, subscribe to marketing or otherwise interact with our services.

Our online store is powered by Shopify, which provides our website, checkout and other ecommerce infrastructure.

Archivum Custodio aims to handle personal information using privacy practices broadly aligned with the Australian Privacy Principles as an internal business standard. This does not necessarily mean that every provision of the Privacy Act 1988 (Cth) applies to Archivum Custodio in every circumstance.

Personal information we may collect

Depending on how you interact with us, we may collect or handle personal information such as your name, email address, telephone number, billing and delivery address; information about orders, purchases, returns, refunds and transactions; account information and preferences where customer accounts are used; communications you send to us; marketing preferences; and information generated when you access or use our online store, such as device, browser, IP address and website activity where collected through Shopify or other enabled technologies.

We may also receive payment and transaction information needed to confirm and manage payments. Archivum Custodio does not intentionally collect or separately store full payment-card numbers unless a verified payment workflow genuinely requires this. Payment-card processing is generally handled by the payment providers available through our checkout.

We aim to collect only personal information reasonably necessary for the relevant business purpose.

How we collect personal information

We may collect personal information directly from you when you place an order, create an account, contact us, subscribe to marketing or otherwise provide information through the store.

Information may also be collected automatically through our website and Shopify platform, including technical and usage information generated when you interact with the store.

We may receive information from service providers involved in operating the store, such as Shopify, payment, fulfilment, shipping and customer-service providers.

We may also receive personal information from another person where, for example, someone purchases a product for delivery to you.

How we use personal information

We may use personal information to process and fulfil orders; process payments and refunds; arrange delivery; communicate about orders, returns and customer-service matters; maintain customer accounts where enabled; prevent or investigate fraud and misuse; operate and secure our store; comply with legal, tax and record-keeping obligations; resolve disputes; improve our services; administer privacy requests and complaints; and conduct other legitimate activities reasonably necessary to operate Archivum Custodio.

Promotional email marketing

Archivum Custodio intends to use email marketing for promotional communications.

We only intend to send promotional emails to people who have actively chosen to receive them. Placing an order by itself does not mean that you are automatically subscribed to promotional marketing.

Promotional emails will provide a method to unsubscribe. When you unsubscribe, we will take reasonable steps to stop sending promotional marketing to that email address.

You may still receive non-promotional communications where appropriate, including order confirmations, shipping updates, account or security messages, returns, refunds and customer-support communications.

At launch, Archivum Custodio does not intend to use promotional SMS, WhatsApp marketing or postal advertising.

Shopify

Our online store is hosted and supported by Shopify.

Shopify may process personal information in connection with providing website hosting, checkout, store-management, security, ecommerce and related platform services.

Shopify may also process information in accordance with its own privacy practices where Shopify is independently responsible for that processing.

Archivum Custodio remains responsible for its own collection, use and disclosure of personal information.

Cookies, analytics and advertising technologies

Shopify and other technologies necessary to operate our online store may use cookies and similar technologies for website functionality, security, preferences and store operation.

At the time of this Privacy Policy, Archivum Custodio has no custom pixels or app pixels configured through Shopify Customer Events.

Archivum Custodio may introduce additional analytics or advertising measurement technologies in the future. Before doing so, we intend to review the relevant provider, information collected, cookies or similar technologies, privacy controls, permissions, retention and overseas processing.

Where appropriate, this Privacy Policy and relevant privacy controls will be updated before or when those technologies are introduced.

Payments

Payments are processed through the payment methods available at checkout, which may include Shopify Payments and PayPal.

Payment providers may collect and process information necessary to authorise, process, secure and record your payment.

Archivum Custodio may receive information such as payment status and transaction details made available through those services.

We do not intentionally separately collect or retain full payment-card numbers unless necessary for a verified payment workflow.

Order fulfilment and dropshipping

Archivum Custodio initially operates using a dropshipping fulfilment model.

To process and deliver an order, we may disclose personal information reasonably necessary for fulfilment to Shopify, fulfilment platforms, carriers, suppliers and other service providers involved in the particular order.

This may include information such as your name, delivery details, contact information and relevant order details where reasonably necessary to process, ship, track or resolve your order.

We aim to limit these disclosures to information reasonably necessary for the relevant operational purpose.

Other disclosures of personal information

We may disclose personal information to service providers that assist with ecommerce operations, payments, fulfilment, delivery, technology, security, fraud prevention or customer service.

We may also disclose information where you request or authorise us to do so; where reasonably necessary to investigate fraud, misuse, security incidents or disputes; where required or authorised by applicable law or legal process; or in connection with a genuine transfer or restructuring of the business.

Archivum Custodio does not intend to sell customer lists or personal details to data brokers or advertising companies for their independent purposes.

Overseas processing and storage

Some organisations involved in operating Archivum Custodio may process or store personal information outside Australia.

Our current Shopify administration settings identify the United States as Shopify's data-storage hosting location.

Other service providers, fulfilment providers, carriers or suppliers may process personal information in other countries depending on the provider and the particular service or order.

We do not assume that one provider's data practices, processing location or information requirements apply to another provider.

Where information is disclosed overseas, Archivum Custodio aims to disclose only the personal information reasonably necessary for the relevant purpose.

Artificial intelligence and customer information

Archivum Custodio may use artificial-intelligence tools for research, administration or testing using non-customer, synthetic or appropriately anonymised information.

Until a specific workflow involving identifiable customer or order information has been separately reviewed and approved, Archivum Custodio will not intentionally submit or process identifiable customer or order information through an AI tool.

Any future AI workflow involving identifiable customer information will require review of the provider, purpose, information involved, permissions, retention or training practices, overseas processing, security and required customer disclosures before approval.

Security

Archivum Custodio takes reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure.

These measures may include limiting access to people, systems and tools that reasonably require it; using suitable account and device security; applying appropriate permissions and access controls; using reputable service providers; and avoiding unnecessary collection, retention or sharing of personal information.

No online system or method of transmission can be guaranteed to be completely secure.

If we become aware of a suspected personal-information or security incident, we intend to take reasonable steps to contain and investigate it, assess its potential impact, take corrective action and make notifications where required by applicable law.

Retention

We retain personal information only for as long as reasonably necessary for purposes such as order processing and fulfilment, customer support, legal and tax obligations, fraud prevention, dispute resolution, record keeping and other legitimate operational requirements.

Different categories of information may need to be retained for different periods.

Where reasonably practicable, personal information that is no longer required will be deleted or de-identified.

We do not state fixed retention periods where those periods have not been verified for the relevant system, provider or data category.

Children

Archivum Custodio is a general-audience trading-card and accessories store and is not specifically directed at children.

We do not knowingly seek to collect personal information directly from children without appropriate involvement or authorisation from a parent or guardian.

If we become aware that a child has provided personal information without appropriate authority, we will take reasonable steps to address the situation.

Access, correction and deletion requests

You may contact Archivum Custodio to request access to personal information we hold about you, ask us to correct inaccurate information, or request deletion of information.

We may take reasonable steps to verify your identity before processing a request.

A deletion request does not necessarily mean that all information can immediately be deleted. We may need or be permitted to retain certain information for legal, tax, fraud-prevention, dispute-resolution, record-keeping or other legitimate purposes.

Where appropriate, we will explain a material limitation or refusal.

Archivum Custodio's internal target is to provide a substantive response within 30 days, unless the matter reasonably requires longer. This is an internal service target rather than a statement that every privacy request is legally required to be resolved within 30 days.

Privacy complaints

If you have a concern about how Archivum Custodio has handled your personal information, please contact us.

We aim to acknowledge privacy complaints reasonably promptly, investigate them, request further information where reasonably necessary, record the outcome and provide a substantive response within our internal 30-day target unless the matter reasonably requires longer.

Third-party websites

Our store may contain links to websites or services operated by other organisations.

Those organisations are responsible for their own privacy and security practices. We recommend reviewing their privacy policies before providing them with personal information.

Changes to this Privacy Policy

We may update this Privacy Policy when our services, information-handling practices, providers or legal obligations change.

When we update it, we will publish the revised version and update the Last updated date.

Where a change is material and notification is appropriate, we will take reasonable steps to notify affected individuals.
